A custom SW system has its place wherever there are unique conditions or data quality matters. For a while, tasks can be solved in shared documents, storing files on the SharePoint cloud, but if you want to work efficiently and your data matters, a custom information system is the only solution.
Disadvantages of shared spreadsheets and data in the cloud
The basic disadvantage is obvious: the data is dead. What people don't do with them won't happen. In contrast, the information system can evaluate data, point out problems, and send notifications. Your work will run, it will be less, and you won't have to think so you don't forget something.
Important information does not belong in documents available via the Internet and tables in sheets. The main reasons are safety and cost.
Data security in the cloud
Although there are theoretically good options for protecting information in the cloud, in practice the vast majority of people access it via a name and password, which they also usually use as the main account on their mobile phone. An email that can be easily guessed or deduced from the company name and that even a schoolboy can guess.
Data from files is very easy to copy and for most people it is not a problem to have their own copy of the data "just in case". What if the internet is not available? The data is therefore in copies in places that the company usually doesn't even know about.
The best data protection in shared files ends when the user logs in. Data can be overwritten, corrected, changed. However, it is not unusual for the user to accidentally overwrite another cell, delete a field, or rename a sheet. Data will be corrupted. And nobody knows how. Something can be traced back to history, but who ever actually did it? History helps when you know what you're coming back to. Not when you don't even know that you or someone else edited something by mistake.
Cost of the cloud
Clouds from e.g. Google are theoretically free - but only for private use. When you want to use them for non-private use, they will cost as much or more than specialized systems that will give you much better data protection. Before you decide to use the clouds, carefully calculate how much you will be charged per month for each user.
Compliance with safety laws and contracts
Storing e.g. company contacts in the cloud is contrary to the GDPR for a number of reasons. In addition, it will also be against your interests, because you need to work effectively with your contacts and protect them. Don't put them somewhere where any worker can pull them to themselves
While the contact restrictions result from the legislation, with other files it is not so visible. Their protection is often even more important. Either because they contain sensitive personal data (health, medical devices, etc.), trade secrets (information about what your customers need), economic or other data that your customers and suppliers consider secure. E.g. TISAX or ISO 27000 standards with data in shared files are out of the question.

Custom system quickly and cheaply
Information systems are building blocks. When you have the right blocks, it goes as fast as legos. Of course, the bigger the units, the faster the construction, on the other hand, the less freedom to do exactly what you need. We use both principles. Illustrative example: A company building telecommunications networks needed to track where it had installation equipment. Traditional asset management systems have two basic modes: warehouse and issued to a person. But what if you have assembly cars. They are actually a mobile warehouse. In addition, they are often replaced by parties. A standard system will be more of a hindrance because you won't be able to keep track of your assets or schedule installations in it.
